Import Bibliographical Data - Advanced


This dialog box is displayed when you click the Advanced button on the Import Bibliographical Data dialog box. This dialog box allows you to make changes to the import options for individual references.

Adjust the display of the dialog box

You can adjust the display of the Import Bibliographical Data - Advanced dialog box to make it easier to see the contents of each column. For example, you can:

Understand the options on this dialog box

The dialog box lists the references to be imported based on your choices from the previous dialog box (Import Bibliographical Data). You can change how individual references are imported. The columns on this dialog box are described in the table below.

Column Name Description
Record

A number assigned to the record when it was exported from the reference management tool. You cannot change this field.

Title

The title of the record that was exported from the reference management tool. You cannot change this field.

Matched Sources

If the reference has already been imported, this displays the location and name of the source that matches the reference. If the reference is already linked to a source you will not be able to change this.

Otherwise, you can select to:

  • Import the reference as a new source.

  • Select a different source to link the reference to.   

  • Not import a reference.

Import Content

Displays the URL of content to be imported—for example, a file attachment.

The options on the drop down menu depend on the choice made for Matched Sources. If available, you can:

  • Select a different attachment, URL or figure to import.

  • Not import the content.

Replace Values

For references that have already been imported, you can choose whether you  want to replace existing attribute values with the bibliographical data.

Replace Memos

Store the abstract, keywords, and notes in a linked memo. When you store the abstract, keywords and notes in a memo, you are able to code and query this content in NVivo.

Any notes you made in your reference management tool are only available in NVivo if you select this option.

WARNING  If a matched source already has a linked memo, its contents will be completely replaced if you select this option.

Classify Memos

Select this option if you want the linked memo to be classified in the same way as the source (only available when you have selected Import Notes).  

For example, if the import creates an external source classified as a journal article, select this option to also classify its linked memo with the same attribute values (for example, year and author) so that you can query the abstract, keywords and notes by attribute value.

Change the import options for a reference

The Import Bibliographical Data - Advanced dialog box allows you change the import options for individual references. The table below describes examples of how  you can use the dialog box.

Example What you need to select
I do not want to import a particular source. In the Matched Sources list, select <Do not import>.
I want to link the reference to a different source. In the Matched Sources list, select <Select Existing>, then click a source and click OK.
I want to import the reference as a new source—for example, if there already is a matched source with the same name. In the Matched Sources list, select <Import New>.
I want to choose a different attachment, URL or figure to import. In the Import Content list, select a different attachment, figure, or URL.
I do not want to import the attachment—for example, I want to create an external with a link to the file. In the Import Content list, select <Do not import content>.
I do not want to update the attribute values—for example, if I have made changes to the classification sheet in NVivo. Clear the Replace Values check box.
I do not want to store the abstract, keywords and notes in a linked memo. Clear the Replace Memos check box.
I do not want to set the classification and attribute values on the linked memo that contains the abstract, keywords and notes. Clear the Classify Memos check box.
